Azimi Education
Last updated: 12 October 2026

This policy explains what personal information Azimi Education collects on its website (azimieducation.com) and its application portal (portal.azimieducation.com), why we collect it, who sees it, how long we keep it, and what you can ask us to do with it.

Azimi Education is a study-abroad consultancy that helps students from around the world apply to universities in China and Turkey. Our head office is at Burç İstanbul İş Merkezi, Gökevler Mahallesi, Kat 2, No 24, Esenyurt, Istanbul, Türkiye, and we have a branch in China; both work through the same portal.

If you have a question about this policy or about your information, write to [email protected].

1. Who this policy is for

  • Visitors who browse programs and universities on the portal without an account.
  • Students who create an account on the portal, or whose account is created for them by a partner agency or by Azimi Education.
  • Partner agencies and the people who sign in for them.
  • Guardians of students under 18, whose details a student gives us.

2. What we collect

Browsing without an account

You can browse every program and university without telling us who you are. Our web server records the usual technical details of each visit: the address your connection comes from, the pages requested, the time, and the type of browser. These records are used to keep the site running and secure, and nothing else.

The portal sets two small cookies that it needs to work: one that keeps you signed in once you sign in, and one that protects forms from being submitted by another site. It sets no advertising or analytics cookies and does not track you across other websites.

Your account

When you ask to create an account, we use your name and email address to send you a link to complete sign-up. Your account is created only after you use that link.

When an account is created we store your name, your email address and your password. The password is stored only in a scrambled form that cannot be turned back into the password itself. We also store when the account was created, when you last signed in, and whether your email address has been confirmed.

Your profile

To apply for a program a university needs certain facts about you, so the portal asks for them once and keeps them in your profile:

  • your name as printed in your passport, and your father’s and mother’s names;
  • your passport number, issuing country and expiry date;
  • your date and place of birth, your gender and your nationality;
  • your country and city of residence, your postal address and your phone number, including WhatsApp;
  • your education: each qualification with its institution, country, year and grade;
  • language test results, if you add them;
  • if you are under 18, the name, relationship, phone number and email address of your guardian.

Your documents

You, your partner agency or Azimi Education can upload documents to your account’s locker: your passport, a photograph, diplomas, transcripts, language certificates, a CV, recommendation letters, a study plan, medical examination forms, police clearance, financial statements, and similar papers that universities ask for. We keep the file itself and its name, type, size and upload date. Every file is checked for viruses before it is stored.

Your applications

For each application we keep the program and university, the intake you chose, the funding option, the documents you attached, any message you wrote, the status of the application, and a timeline of what happened and when: who moved it, what was asked, what you replied, which documents were added. When you submit an application, the portal keeps a copy of your profile as it was on that day, so the record of what was sent stays exact even if you change your profile later.

We also keep the programs you save with the bookmark.

Emails we send

The portal emails you about your account (to confirm your email address, to reset a forgotten password, to invite you when someone creates an account for you, and when your sign-in email is changed) and about your applications (when a counsellor moves the status or writes to you, and when your account is attached to a partner agency). These emails say what happened and link to the portal; they never contain the text of a message, a document, or details from your profile. The portal keeps a record of each email sent, with its date and whether it was delivered. Our emails contain no tracking pixels and no tracked links.

Security records

To protect accounts the portal counts sign-in attempts and password-reset requests for each email address, and keeps those counts for fifteen minutes. The web server’s access records are described above.

3. Why we use your information

  • To prepare and submit your applications. This is the service you ask us for. Universities require the facts in your profile and the documents you upload.
  • To work with you on your applications. Counsellors at Azimi Education, and your partner agency if you have one, read your profile, documents and applications in order to advise you, complete missing parts, submit applications and follow them to a decision.
  • To tell you what is happening. The emails described above, and the timeline on each application.
  • To keep accounts and the site secure. Sign-in protection, virus checks on files, and the server’s technical records.
  • To understand our own work. Azimi Education and each partner agency can see counts and summaries of their own applications by month, status, country and university. These reports are built from the applications themselves and are not shared outside.

We do not use your information for advertising, we do not sell it, and we do not make automated decisions about you.

4. Who sees your information

  • Azimi Education’s counsellors and administrators, in Istanbul and in our China branch. They can see every student’s profile, documents and applications in order to do their work.
  • Your partner agency, if one created your account or if Azimi Education attached your account to it at your request. Its staff see your profile, documents and applications, and can complete and submit applications for you. The portal emails you when your account is attached to, moved between, or detached from an agency.
  • The universities you apply to. Your application, the facts in your profile and the documents you attached are sent to the university, by Azimi Education or by your agency, so that the university can consider you. Each university then handles your information under its own rules.
  • Service providers who run the systems for us, under contracts that allow them to process the information only for us:
  • the company that runs the server the portal lives on, in the United States, where the database and your documents are stored;
  • the email delivery service that sends the portal’s emails, which receives only the recipient address, the subject and the text of each email;
  • the cloud storage where encrypted copies of the portal’s backups are kept, in the United States.
  • Authorities, only if the law requires us to.

Nobody else. In particular, other students, other agencies and visitors to the site never see your information.

5. Where your information is kept

The portal’s server and its backups are in the United States. Azimi Education’s team works from Türkiye and from China. By using the portal you agree that your information is processed in these countries, which may have different data-protection laws from your own. We protect it in the same way wherever it is.

6. How long we keep it

  • Your account, profile, documents and applications: for as long as your account exists. You can delete a document from your locker at any time, except one that was sent with an application, which stays with that application as the record of what was sent.
  • Email records: as part of your account’s records, for as long as the account exists.
  • A request to create an account that is never completed: seven days, then we delete the request.
  • Security counts: fifteen minutes.
  • The server’s access records: a short time, measured in weeks, before they are overwritten.
  • Backups: nightly copies are kept for 35 days and monthly copies for 400 days, after which they are deleted automatically. Information you ask us to delete disappears from the live portal at once and from the backups as they expire.

When you ask us to close your account, we delete it, together with your profile, documents and applications, unless the law requires us to keep something, in which case we tell you what and for how long.

7. How we protect it

  • Everything between your browser and the portal is encrypted (HTTPS).
  • Passwords are never stored, only a scrambled form that cannot be reversed.
  • Your documents are stored outside the public part of the server and can be opened only by you, by Azimi Education’s staff, or by your partner agency, each through their own signed-in account.
  • Every uploaded file is scanned for viruses before it is stored.
  • Access is limited by role: a partner agency sees only its own students; a student sees only their own account.
  • Links in our emails that act on your account work once and expire.

No system is perfectly secure. If we learn of a breach that affects your information, we will tell you and the relevant authorities as the law requires.

8. Students under 18

If you are under 18 you can use the portal, and we ask for your guardian’s name, relationship, phone number and email address so that they can be involved in your application. Your guardian can write to us at any time about your information.

9. Your rights

You can, at any time:

  • See what we hold about you. Your profile, documents and applications are on your account; for anything else, write to us.
  • Correct it. You can edit your profile and change your name and password under Settings. To change your email address, use the Email section under Settings; you confirm the new address by email.
  • Delete it. Delete documents from your locker yourself, or write to us to close your account.
  • Object to a use of your information, or ask us to limit it.
  • Take it with you. Ask us for a copy of your information in a common electronic form.
  • Complain to the data-protection authority of your country, of Türkiye or of China if you think we have handled your information wrongly. We would rather hear from you first.

To exercise any of these, write to [email protected] from the email address on your account. We answer within 30 days.

10. Partner agencies

If you sign in for a partner agency, the portal holds your name, email address, password (scrambled) and, if you add one, a photograph, together with your agency’s name, logo, contact details and website, which are printed on the PDF documents your agency exports. Your actions on a student’s application are recorded in that application’s timeline under your agency’s name and your first name, and the student sees them.

11. Changes to this policy

When we change this policy we update the date at the top. If a change affects how your information is used in a way you would not expect, we tell you by email before it takes effect.
